Welcome to the Pod Shipping & Delivery Guide. This guide covers everything you need to know about receiving your bespoke pod(s), from production timelines to unloading and post-delivery responsibilities. Follow each section below to ensure a smooth and well-prepared delivery experience.

1. Production & Delivery Timelines
Production Timeline
The production times for our bespoke pods typically fall between 4-6 weeks for a single pod.
For a larger project consisting of multiple pods, this can extend to 8-12 weeks depending on the specific project.
This timeline encompasses the entire project, including the complete fabrication of the pods along with delivery.
Delivery Timeline
Production Loading: Once production is complete (and presuming the full balance has been settled), the pods will be loaded onto the lorry within 3-10 business days.
Delivery to UK Mainland and Ireland: Delivery to the UK mainland and the Island of Ireland typically takes an average of 5 business days.
Delivery to Channel Islands and Europe: Delivery can take between 5-10 business days, location dependant.
Scheduling Delivery
For larger project with multiple pods, we offer flexible delivery scheduling to accommodate your needs and ensure a smooth and efficient process:
1. Same-Day Delivery: We can schedule all pods and/or hot tubs to arrive on site on the same day.
2. Staggered Delivery: Alternatively, we recommend staggering the delivery across several days to reduce the overall stress and workload on each day. For example, scheduling deliveries across Monday, Wednesday, and Friday can be a practical approach.
3. Customised Scheduling: Delivery can also be scheduled across different weeks if required, allowing you to manage the installation process at your own pace.
2. Shipping and Unloading Details
Client Responsibility
Please note that the cost of unloading the pod(s) is not included in our pricing. The responsibility for unloading lies with the client, as it is generally more cost-effective for clients to utilise on-site machinery rather than us do this.
Overview of Available Options
When your glamping pod(s) arrives on-site, there are two primary methods available for unloading and positioning the pod. Each method has its own application depending on the equipment available and the nature of the project.
Method 1: Using a Telehandler |
Method 2: Using a Crane |
In this scenario, the lorry carrying the pod(s) will arrive on-site and the pod(s) will be lifted off the lorry using a telehandler or similar style machinery. 1. Telehandler Size: For glamping pods weighing roughly 3 tonnes, a telehandler with a lifting capacity of at least 4 tonnes is required. 2. Positioning: The telehandler or similar style heavy duty machinery, will carefully set the pod into its designated position on-site. |
The second method involves lifting the pod(s) off the lorry using a crane. This method is often preferred when precise positioning is required or when the site terrain makes telehandler access challenging. 1. Crane Usage: The crane will use chains, roping bands or straps to lift the pod safely from the lorry and place it directly into the desired location. 2. Distance Consideration: The size and length of the crane’s boom required will be dictated by both this distance and the net weight of the pod. |
Estimated Costs
Hiring a telehandler or crane can cost an estimated £250-£2,000 per session. This really does depend on the number of pods included, location, equipment required, and duration of hire.
It is essential to ensure these arrangements are made in advance, prior to the date(s) of delivery.
If on-site machinery is not available or you prefer us to handle the unloading and positioning, we can provide a quotation for these services upon request.
Safe Transport and Unloading
To facilitate easy unloading, the trim of the pod(s) are not attached during shipping. This allows ample space for telehandler prongs or crane straps to be securely positioned without risk of damage to the pod’s structure.
The trim is safely packed inside the pod during transport, and once the pod is in its designated location, the trim can be quickly attached by your team. Attaching the trim takes approximately 30 minutes when following the detailed instructions provided, ensuring a smooth and efficient final step in setup.
3. Delivery Day Essentials
Access to the site
Prior to delivery, please provide some videos and media of the site access, so we can conclusively confirm that we will have appropriate access to the site.
The lorries that the pods will arrive on, may be up to 40ft and we need to be able to verify prior to delivery that we can arrive on-site and unload the pods close to their final position.
Ensuring proper site access reduces the risk of re-delivery fees or delayed setup.
4. Quality and Post-Delivery Procedures
Quality Assurance Before Shipping
Before each pod leaves our facility, it undergoes a thorough inspection by our quality manager, who takes detailed photos and videos to document its condition. Once inspected, the pod is handed over to the transport company, which signs a CMR document confirming that they assume responsibility for the product during transportation until delivery. This process ensures accountability and quality at every step, from our factory to your location.
Functional Testing
We take pride in ensuring that every aspect of our pods and cabins meets the highest quality control standards. After assembly, each pod undergoes rigorous in-house testing to verify its functionality and reliability.
In-House Testing
1. Quality Control: Each pod is thoroughly inspected to ensure that all components meet our stringent quality control standards. This includes checking the structural integrity, finishes, and overall craftsmanship.
2. Plumbing Systems: All plumbing systems within the pods are tested for leaks, proper flow, and functionality. This includes the water supply, drainage, and all plumbing fixtures.
3. Electrical Systems: We conduct comprehensive tests on all electrical systems to ensure safety and functionality. This includes testing lighting, power outlets, and any integrated electrical appliances.
4. Operational Testing: All devices and systems within the pods undergo functional testing. This ensures that everything operates as designed and instructed.
By performing these tests, we ensure that our products are delivered to you in perfect working order, designed and manufactured for long term usage.
Pre-Installation Inspection
Upon delivery, before the pods are lifted into position, it is essential to check for any damages. Although the pods are thoroughly wrapped and protected for transit, and damages are very unlikely, this inspection must be completed prior to lifting the pods into position.
It is absolutely crucial to perform this check before signing off the delivery document. Reporting any courier-related damages after the delivery documents have been signed will significantly hinder our ability to file a claim on your behalf against the courier.
While such damages are unlikely, it is important to highlight this procedure to you.
Lifting the Pods into Position
Once the pre-installation inspection is complete, proceed with lifting and positioning the pod(s) using either the telehandler or crane, as arranged. Please note that Home Living Luxury is not responsible for unloading, lifting, or positioning the pods, so make sure these arrangements are coordinated prior to delivery day.
Post-Delivery Responsibilities
Home Living Luxury takes full responsibility for the design, fabrication, and delivery of the pods. The pods will be delivered by our trusted courier, and any courier-related issues will be handled and processed accordingly.
However, once the pods have been delivered, the post-delivery checks have been completed by you, the client, and the delivery documents have been signed, our responsibility ends.
We assume no responsibility for the unloading, lifting, or positioning of the pods. Any damages or issues that occur after this point is not the responsibility of Home Living Luxury.
Should any issues arise, we will be more than happy to assist you promptly. The situation, along with any potential costs, will be assessed and addressed accordingly.
